SULLIVAN SOUTH BAND BOOSTERS ASSOCIATION, INC
STANDING RULES 

ACCOUNTING

  • Checks shall be written to Sullivan South Band Boosters or SSBB.
  • Receipts must be signed for any cash paid out.
  • All-State East participants shall be given a meal allowance of $10.
  • Two officers shall be responsible for counting and depositing all money.
AMENDMENTS
  • Bylaws are to be reviewed every four (4) years beginning with the year 2004.
  • The Executive Board shall appoint a bylaws review committee in September for the year in which the bylaws are to be reviewed. The committee shall make a report to the Executive Board in November.
ANNUAL BUDGET
  • A Budget Committee consisting of the president, treasurer, and the band director shall prepare a proposed budget to be presented to the Executive Board for approval in May.
  • The approved proposed budget shall then be presented to the Association for approval at the Annual Meeting.
COMMITTEES
  • Committee chairmen shall submit to their respective vice president written projections of activities and estimated costs no later than July 31. The vice presidents shall present these projections to the Executive Board at the August Executive Board meeting for approval.
  • Those student recognition events for which the public relations chairman shall be responsible include, but shall not be limited to, Senior Night, Spring Banquet awards, senior scrapbooks, and the band bulletin board.
EXECUTIVE BOARD
  • The president may appoint a parliamentarian to preside at any meeting.
  • The president shall set the date of the first Executive Board meeting of the membership year.
  • The business of the first Executive Board meeting of the fiscal year shall include, but shall not be limited to:
    1. Bylaws and standing rules orientation
    2. Setting the dates of all general and Executive Board meetings
    3. Selection of candidates for committee chairmen
  • Within 30 days of taking office, the vice presidents shall review procedure books with the chairmen of those committees for which they are responsible.
  • The Executive Board shall review and update the Band Handbook annually.
MEETINGS
  • Annual meeting business shall include but shall not be limited to:
    1. Budget approval
    2. Election of officers
    3. Approval of annual dues
  • Any member of the Executive Board absent three (3) unexcused Executive Board meetings shall automatically be removed from the Executive Board.
MEMBERSHIP AND DUES
  • Association membership shall be defined as "individual" and not "family".
  • A band student is any student currently enrolled in band. The band director may, at his discretion, determine those students who are to be considered "band students" when a scheduling conflict occurs.
  • Voice in the affairs of the Association becomes effective immediately upon payment of dues.
  • Executive Board members shall pay annual dues by June 1.
OFFICERS AND THEIR ELECTION
  • Members in good standing are those members who:
    1. Are members of the Association
    2. Have met hourly obligations
    3. Are current with all monetary obligations
  • Officers shall be bonded.
PROCEDURE BOOKS
  • All procedure books shall include:
    1. Bylaws
    2. Standing Rules
    3. Copy of the Band Handbook
    4. Copy of the budget
    5. Plan of work
      1. Timeline
      2. Detailed guidelines
      3. Future recommendations
      4. Documentation of successes/failures
    6. Cost estimates
RECORDS
  • An archive of all Executive and general meeting minutes, as well as any audits and federal, state, or local documents shall be located in the office of the band director.
STUDENT RESERVE ACCOUNTS
  • Student accounts, both hourly and reserve, are credited to the family, not to individual family members.
  • When a band student graduates, any remaining funds in the student's reserve account revert to the instrumental purchase reserve account. If a younger family member has made known their intent to enter the Sullivan South band program the following school year, those remaining funds in the graduating band student's reserve account shall be held in escrow for that family member.
  • The treasurer shall contact the families of those graduating band students by May 1 to determine whether a younger family member will be entering the high school band program the following school year. Reserve funds not placed in escrow shall revert to the instrumental purchase reserve account.
  • The reserve account funds of any student not participating in the band program for two (2) consecutive semesters shall revert to the general budget.
  • After notification to the family, any money owed the Association as of June 1 shall be taken from the student's reserve account.
